J Camps Financial Policies
Camp Changes
Definition: A change occurs when a camper’s schedule changes but the number of weeks remains the same.
- $25 administration fee per change per camper starting May 1, 2025.
- If a camper changes to a more expensive camp, they must pay the difference at the time of the change.
- If the new camp is cheaper, the difference will be posted as a credit to the camper’s household account and will be applied to future camp payments.
- If there is any remaining camp credit after June 17, 2025, a refund will be issued to the original form of payment no later than August 22, 2025.
Cancellations
Definition: A cancellation is when a camper’s number of weeks decreases (i.e., from 7 weeks to 5 weeks of camp).
- Cancellations made between registration and 10 business days before the camp week starts will result in a credit minus the $50.00 non-refundable deposit. The credit will be posted to the household account and will be applied to future camp payments.
- If there is any remaining camp credit after June 17, 2025, a refund will be issued to the original form of payment no later than August 22, 2025.
- No refunds or credits will be issued for cancellations within 10 business days of the camp start date.
- No deductions or prorated fees for partial sessions or absences.
Camp Program Cancellations by the J
- The J reserves the right to cancel any camp program due to insufficient enrollment. If this occurs, every effort will be made to accommodate registered campers in other programs. If we cannot accommodate them, a full refund will be issued.
- The J reserves the right to request that a camper leave the camp because of a violation of the camp regulations or because of personal conduct that interferes with the health or welfare of themselves or others. Should this occur, we will not offer refunds.
At the time of registration, a $50 deposit is required for each week of camp. The deposit is applied to your total camp fees and is non-refundable. All camp fees must be paid in full by June 17, 2025.
Installment Details
- Payment can be made in full OR in four auto-debited monthly installments via ACH (bank account) or credit card.
- The deposit is due at the time of registration, regardless of the payment method.
- If paying in installments, the four equal payments will be auto debited on the following dates:
- Tuesday, March 18
- Thursday, April 17
- Monday, May 19
- Tuesday, June 17
Late Registrations
For registrations made on or after March 17, the deposit and any installments for the months that have already passed must be paid immediately.
Credit Card Fees
A 3% non-refundable fee will be added to all credit card transactions for J Camps.
Financial assistance is available on a limited basis for summer day camp.
Camp Registration Process
Those applying for financial assistance can register for camp online beginning February 2 and must pay the $50 non-refundable deposit for each week of camp. The total camp balance will be reduced once a financial award has been received. Alternatively, applicants may choose to wait until their financial award is determined, and the deposit due will reflect the award amount.
Financial Assistance Application Process
- Ensure membership is valid or purchased for the camper(s) prior to camp enrollment. For membership details, please contact the membership department at 713-729-3200 or membership@erjcchouston.org.
- Apply online for financial assistance at online.factsmgt.com/aid. You will need to submit financial documents, including your 2023 tax returns and 2024 W-2s, along with an explanation of any significant changes in your financial situation or projected income for 2025.
Deadlines for Application
Completed applications, including supporting documentation, must be received by the following dates to be considered:
- Priority Deadline for Existing Scholarship Families: January 31, 2025
Existing scholarship families can apply early by January 31 to secure a priority award decision. - Regular Deadline for All Applicants: February 14, 2025
All other applicants must apply by the regular deadline of February 14. Applications received after this date will be considered late and will not be guaranteed consideration for financial aid. - Late Application Deadline: March 31, 2025
Applications submitted after this date or incomplete applications will be considered only on a limited basis and are subject to available funds.
Post-Award Actions
Applicants will have one week from the award date to accept the award, file an appeal, make any changes, or withdraw from any camps to receive a full deposit refund. After this timeframe, deposits are nonrefundable, and any changes will incur an applicable change fee.
Payment Plans
Payment plans for the remaining balance not covered by financial assistance must be finalized by April 30, 2025. Campers will not be allowed to attend camp without a finalized payment plan in place.
*Please note: Financial aid is not available for the following contract camps: Basketball, Baseball, Trampoline, Teen Travel Camp, Ninja Warrior, Glee, Rockband, STEAM, Beat Makers, Mad About Hula Hoops, Golf, Aerial, Horseback Riding, Minecraft, Roblox, Lego Masters, WITS, Culinary, Best of Houston and Chess
